Payroll Processing
The Payroll process has been enhanced to allow for a more detailed review and approval process.
The new Generate Payroll screen is shown below. Delivery and Settlement Date and Driver filters are still available along with newly added filters for Ops Group and Driver ID.
Each driver will be represented on one line in the filter results rather than each load being listed as a separate line item.
To begin approving and working loads, you will need to select Start Payroll. Once payroll has been started, filters cannot be edited, so you should double check the filters and confirm accurate results before starting. Click Cancel Payroll at any point to opt out of the current payroll process. All progress in that payroll run will be lost and approvals will need to be completed again.
Once Start Payroll has been selected, you will have the option to Approve All, which will approve all loads for each driver in the filter results. Alternatively, you can click the Needs Review option for each driver to review and confirm their loads.
To review each driver’s loads, click on the Needs Review button. The Driver Settlement modal will open with the following core options and information:
- Pay All - approves payment for all loads listed in the modal
- Pay - approves payment for the load on the selected row
- Undo - undoes a previous approval and opens the load to Pay again
- Load Number - clicking on this will link you to the load in the Operations screens
- Driver Summary/Driver Gross Earned - updates with the totals as loads are selected
- Submit - submit the selected load(s) to complete payroll
Once a driver’s loads have been reviewed and selected in the Driver Settlement modal, the Review Status will update to Complete.
Drivers with a Review Status of Complete can be selected for submission.
Once you have completed your approvals and are ready to submit, click Submit Payroll. The Driver Payroll review modal will open. Click Yes to continue or No to go back to the home screen.
When Yes is selected, the Payroll Processing will begin.
Only one payroll can process at a time, so you will see a warning message that you will not be able to process a new one until the previous one has completed processing. You may need to refresh the screen to confirm completion of the processing.
The Payroll History tab has been replaced with a Posted Payroll tab. This tab will have one row for each payroll transaction that has been processed successfully. The information includes the Posted Date, Drivers Paid and the Total amount of that payroll run.
Click on the Total amount to see a summary of the drivers paid in that payroll.
A new tab has been created called Paid Loads. This tab will show the load details for each load paid and can be exported to a CSV file if needed.
Employee Driver Pay
A number of additional options have been added for Employee Driver Pay.
For each driver, Per Diem Rate, Hours Per Day and Pay Period Days can now be added and used to calculate payroll. These rates can be added wherever rates can be added or edited.
For each Job Type Rate, you also have the option to add rates for Stop Pay, Bonus, Non-Productive Time and Rest & Recovery.
The calculation of each of these items is as follows:
- Stop Pay = (stop pay rate) * (total amount of stops over two)
- Bonus
- Bonus Unit Type of Miles = (bonus unit rate) * (carrier miles)
- Bonus Unit Type not Miles = (bonus unit rate) * (trip details unit count); the Line Haul Unit Type in Trip Details must be set to the same unit
- Non-Productive Time (NPT)
- NPT Unit Type of Miles
- Convert miles to hours using the following formula
- 0-440 miles = 0.50 hours
- 441-880 miles = 1 hour
- Etc.
- (non-productive time rate) * (total hours)
- Convert miles to hours using the following formula
- NPT Unite Type of Hours
- (non-productive time rate) * (driver’s “Hours Per Day”) * (driver’s “Pay Period Days”)
- NPT Unit Type of Miles
- Rest & Recovery
- Calculated the same as Non-Productive Time above
These rates are displayed in the Payroll Summary section as shown below.
Customer/Shipper Contract Enhancements
The header section of the Shipper Contract has been simplified. Note that the Quote ID and CRM ID fields are not currently available and will be opened up in future releases.
Two different Lane Types are now available: Point to Point and Zone.
Point to Point rates calculate from Origin City to Destination and require the entry of Distance miles.
Zone rates are set up with one origin zone type and one destination zone type. Zone type options include State, 3-Digit ZIP or 5-Digit ZIP. Multiple selections can be entered into each of the zone types.

QuickSight Location Details
The Location Label has been added to the location details that are available to add to reports and visuals in QuickSight.
Bug Fixes
- The Apply External Payments in Payables will now work properly with Inactive carriers
- The Sent By field in the Invoices view in Delivered Loads has been fixed and will show the user that created and sent the invoice document
- Each document synced from Motive will appear in the EKA load only one time
- The required document indicator will update when a system-generated Bill of Lading is created
