Go to Carrier Operations → Data Management → Carriers.
The Carrier Operations user has the ability to add new Carriers to the app.
Begin by clicking the from the top of the carriers page.
The application has three options for onboarding a new Carrier: Express, Standard, and Prospect.
This guide follows the standard onboarding of a Carrier. For more information about Express Carrier onboarding please click here.
NOTE: If you have a subscription to RMIS or MyCarrierPackets, the option to add carriers via standard or express onboarding will be disabled. Prospect carriers can be added. Carriers must be added via the approved qualification service.
Standard Carrier Onboarding is a more detailed workflow. The application will perform lookups on carrier data, require insurance certificates based on Broker Configurations and request much more detail about a carrier. Standard Carrier Onboarding also requires that an Administration user Activate the carrier.
Before you begin please make sure you have the following information or documents available. They will be required to complete the carrier onboarding process.
- Company name and contact information
- US DOT number or MC Number
- Fleet information
- Number of Vans, Flatbeds, Reefers and Tankers
- How many Independent Contractors
- General service questions such as, HAZMAT certified?
- FEIN (Commercial TAX ID)
- Insurance/Certificates
- Commercial Auto Liability
- Cargo Liability
- General Commercial Liability
- Excess Liability Coverage
- Worker's Compensation Certificate
- Lane data if applicable
- Bank account information for payments
You will then be prompted to complete a basic profile for the carrier. Make sure to complete all boxes with a icon. Invalid entries will display a red caption warning with instructions on how to fix. Note that the carrier can reset the password that is entered here upon logging into the app.
Register New Carrier
The top portion of the entry form is focused on adding carrier contacts. All of the contact types are optional.
- Users - Users will be invited to join the EKA platform and will have visibility to all loads that they are assigned to view; users can be selected as recipients for the Rate Confirmation and Load Offer documents
- Operational Contacts - Contacts that can be viewed all throughout the application; operational contacts can be selected as recipients for the Rate Confirmation and Load Offer documents
- Verified Contacts - Contact that can be easily converted to a User; verified contacts can be viewed all throughout the application
The lower portion of the form captures the carrier’s physical address and identification information.
Click Next to proceed to the next section of the form. If the carrier already exists in the application, you will see a message similar to the one below:
Click Continue to use the existing carrier.
The application is matching first on DOT and MC Numbers and will then look for an exact address match to determine if a carrier already exists.
You will still be able to add your own contacts to the carrier and specific details such as payment terms will remain unique.
At this stage the basic Carrier information has been added and a carrier profile created. From this step onward clicking Cancel instead of Save & Continue will take you to the Carrier Page. If onboarding was not completed, options to Delete Carrier or Continue Onboarding will be shown on the carriers page.
If a carrier qualification service has been set up in Broker Configurations, the application will check with that service and return results that need to be confirmed. This example is for SaferWatch; however, different services do return different data.
Corporate Profile
The Corporate Profile section includes data provided by the US DOT or MC Number. Some additional information may need to be entered. Be sure to check each of the Yes/No options, all of which default to No. Click the Save & Continue button at the bottom of the page to proceed to the next step.
General Info
Expanding on the basic profile that has already been created, the General Info section goes into further detail. If the Physical and Remit Address are the same, use check the box next to Remit Address to autofill the information. There are a number of optional fields that can be filled out, although these can be skipped and edited later by an Administrator.
Insurance
There are a number Insurance certificates that need to be uploaded in the next section. Which insurance certificates are mandatory is determined by Carrier Insurance Settings in Configurations.

Begin by clicking the Choose File To Upload button. A new window will open to locate the file on your computer. Select the appropriate file to open and click Save File.
Along with each certificate that is uploaded, you will need to fill in the related insurance information in the fields below. The final field is the Certificate Type, this is a dropdown menu and supports selecting multiple options. Click the Upload Certificate button to save the entry. The insurance requirements at the top of the page will update as certificates are added. When a certificate type is accepted, the description will be in green and a checkmark will appear. All remaining certificates to upload will be in red and marked with an X.
As certifications are added they will be appended below. If changes need to be made to an entry, use the Delete button. When all of the Certificates are uploaded and green, click the Save & Continue button.
Lanes
If the carrier is Available For All Lanes use the checkbox in the top right of the box.
If there are specific lanes that the Carrier uses click the Add A Lane button. The current box will expand and reveal a form with which a new lane can be defined. To delete the lane click on the trash can icon near the top of form. Another Lane can be added by clicking the Add A Lane button once again and repeating the process. When complete click the Save & Continue button to move onto the next step.
Payment
Select the settlement type between Standard and Quick Pay (Fees for each settlement type can be set up in Configurations). Then the method of payment can be chosen from ACH, Money Code and Check. If the Money Code was selected the form will expand to verify the email associated to the account. A copy of the Money Code will always be sent to this email, please make sure it is up to valid and up to date.
The final option is to select if Load Advances will be accepted. If yes, a fee may be charged (Load Advance fees can be set up in Configurations). Click Submit Onboarding Data to finish.
Pending Approval
A message will now appear, confirming that the onboarding process has been submitted. The Carrier will now be ready to be activated by the Carrier Administrator.
