Go to Administration → Users. The Users page should already be open when navigating to Administration.
A list of users will be displayed in a table. By default, only active users are shown.
Add New User
Click the icon to begin adding a new user. This will open a new window which the administrator can use to add a contact and/or give them application access. Fields marked with a are required.
Click the Needs Application Access box to give the contact access to the application. This will require some additional information to be completed. The window title will also change to Add User.
New fields will be displayed depending on the selected role. The Carrier and Shipper roles are external and invite your carriers or customers to view their loads on the EKA portal. The Broker role is internal and creates new users for your internal team only.
Selecting Carrier as the user role will require the entry of an active carrier name that will associate the user with the correct carrier.
Selecting Shipper as the user role will require the entry of an active shipper name that will associate the user with the correct shipper.
Selecting Broker as the user role will open up several different options:
- Will this user manage all broker functions?
- This will give access to all operations, administration and financial functions including all reports
- Allow Access to Operational Reports?
- This option is only available when Manage All Broker Functions, Operations, or Both is selected. This gives access to all reports in Operations.
- Is this user an agent?
- This limits a user’s rights to only work with shippers where the agent has been added as the Salesperson or Primary Account Manager
- Is this user an HR Admin?
- This gives access to the commission program settings and postings
- Allow to Issue Load Advances
- This gives the user rights to issue Load Advances through the integrated services with EFS or Comdata. All users can issue manual load advances.
- Invoice/Settlement Privileges
- Allows the user to create customer invoices, approve carrier settlements or have view-only access
- Add accounting capability for this user?
- Allows an operations user to have access to accounting functions, but not accounting reports such as an Invoice Statement
- Auto Activate Shippers
- When selected, any customers that are created by the user will be immediately made active rather than go through the two-step approval process
- Add shipper admin rights for this user?
- Gives permission to operations/administration users (without full access) to edit customer/shipper details from Data Management in Operations
- Add carrier admin rights for this user?
- Gives permission to operations/administration users (without full access) to edit carrier details from Data Management in Operations
- Shippers and Carriers
- Broker users may be assigned to specified shippers and carriers. These assignments assist users with limiting search results to only those assigned shippers and carriers.
- Multiple shippers and arrears can be assigned. Shippers and carriers can also be assigned to multiple users.
- Business Units and Groups
- Associate a user to a specific business unit. Only one business unit may be assigned to each user.
- Associate a user to one or more groups.
- The assigned business unit will impact which shippers the user can work with and see within the application. Users can only work with shippers that are assigned to the same business unit.
- 3rd Party Pricing / Loadboard Services
- Open fields to enter user-level credentials for certain 3rd party data service offerings. Subscriptions are required for each of these services.
After providing all required information, click the button to save and create the user. An email will be sent to the entered email address providing them with a password to login to the application. The new user can now be searched and/or modified from the Users page.
Edit User
Locate the row with the user that needs to be updated. This can be done either by filtering with the search bar or scrolling through the list on each page.
To edit an existing user’s information, click the icon to update the user. A window will open with the user’s current information. After making any necessary changes, click the button to save. Click to discard any changes and close the form. Read the Add New User section for more information on specific broker user fields.
Deactivate User
To deactivate a user, click the icon at the end of the row to show the Deactivate option. Click deactivate to begin.
A window will open prompting a reason for deactivation. This is required and we cannot proceed without completing it. Click the button once you confirm your reason and the user will be updated immediately. If you change your mind simply click to go back to the users page.
Activate User
Use the Status filter to search for inactive users. By default, the table only lists active users.
To activate a user, click the icon at the end of the row to show the Activate option. Click Activate to begin.
A window will open prompting a reason for activation. Click the button once you confirm your reason and the user will be updated immediately. If you change your mind simply click to go back to the users page.
Reset Password
Locate the row with the user that needs to be updated. This can be done either by filtering with the search bar or scrolling through the list on each page.
To reset a user’s password, click the icon for a user. A window will open to allow entry and confirmation of the new password. Click to save. An email will be sent to the user’s email address to provide them with the updated password. Click to discard any changes and close the form.
