Setup Requirements
In order to integrate EKA with the Denim interface, EKA will need to have the API key assigned by Denim. Once this key has been entered by the EKA Administrator, the integration will be active.
To locate the appropriate API key in Denim, log into the Denim dashboard and go to the menu options in the top right. Select Settings from this menu.
Select API Access from the Settings options.
The API Key will be masked, but click the Copy button to copy the API key.
Paste the API Key into an email to support@go-eka.com.
Company Matching
All customers and carriers will need to be matched to a corresponding company in Denim. The process of Company Matching can begin as early in the load lifecycle as Active Loads; however, the most straightforward and common workflow is to perform this matching in the Finance section where the load details are sent to Denim.
To access Company Matching in Active or Delivered Loads, select Denim Company Matching from the dropdown menu.
Active Loads
Delivered Loads
The matching process can also be done in the Finance workflow by clicking on the at the end of the load row. To access the full scope of options for the Denim workflow, the payable must have a status of Scheduled, and the receivable must have a status of Invoiced. If one or the other of these are not met, then the company matching will need to be done in Delivered Loads.
The company names on the transaction will appear in the Accounts Receivable and Accounts Payables sections. Companies that are already matched will be in green text and do NOT need to be matched again. Companies that are not matched will be in yellow text and can be matched by clicking on the company name.
Finance
Regardless of where the Company Matching is done, the process is the same.
Shipper Match
Every match begins with a mandatory search of existing Denim companies. Click on the company name to begin the matching process. Click Search Denim to search. Possible matches will display in a paginated list. Tick the box to select from available companies to match. Only one potential match can be selected.
If none of the possible matches are correct, then click Create Company in Denim. The Billing Contact details below the company name must be complete in order to submit the new company request. This information can be updated in Administration → Customers/Shippers → Shipper Profile → Customer Contact Information → Billing Contact.
If creating a new customer company, a credit limit can be entered and sent with the request. This credit limit is for the Denim company record and is separate from the credit limit that is stored in EKA.
Whether matching or creating new, the company match request will be sent to Denim, and the Customer/Shipper will update with a green checkmark and the menu option will update to Re-Match to Different Company.
Transmit Load Details to Denim
The transmission process is done in the Finance workflow by clicking on the at the end of the load row. The process can be invoked from the Receivables section only. The receivable must be in a status of Invoiced in order to be able to send to Denim. If the load does not meet these status requirements, then the option to transmit to Denim will not be available and the modal will only show previous requests.
When both requirements are met, the Factor Load modal will open to transmit the load details to Denim. The following sections are displayed in this modal:
- Accounts Receivable Information - Includes the shipper name, invoice number, invoiced date, invoice due date and invoice amount
- Documents - Minimum required documents are Shipper Rate Confirmation (currently the Customer Rate Confirmation document), Proof of Delivery and Carrier Invoice
- Submit - will only be enabled when all requirements are met
The Accounts Receivable party must be matched to a Denim company in order to send the financials to Denim. If the party is not matched, follow the instructions above for Company Matching.
The request can be sent without documents attached; however, Denim will not process the request until the full set of documents are transmitted.
When all requirements are met, click Submit to send the load to Denim for processing.
The Factoring Icon will update to a yellow color, and a tooltip will be available that lists the status of the request with Denim.
The job is sent over to Denim with a status of Draft. Then a background job will run to collect all of the data and documents, and then the status will update to a status of Pending.
Once the job has been submitted, it cannot be updated or submitted again. If the job needs to be updated, it must first be deleted and then re-submitted. To delete the request, go to the Previous Requests tab of the Denim modal and select Delete Denim Job.
The Delete option will only be available when the status of the Denim job is Draft or Pending.
The job can be viewed in the Denim dashboard if needed.
As Denim processes the invoices and payments, the statuses will update back into EKA.
Note: Multi-leg loads are currently not supported with this integration. These loads would need to be processed through the Denim dashboard directly.
